What you will do!
The Executive Support Specialist supports the Assistant Superintendent and the Director of EDI. On a typical day you will support the EDI leadership through various activities, but not limited too: maintaining calendars, capturing important interactions and decision points in meetings, monitoring timesheets, time-off requests, arranging travel and you may work on special assignments and projects. You also may assist staff on our team on an as needed basis.
You will check in daily with leadership and advise supervisors of commitments, changes in schedule or needs throughout the day.
You will schedule and arrange appointments, meetings, conferences, and agency-wide projects or activities.
You will locate, assemble, edit, and summarize material, information, and data for administrative action.
You will maintain files of correspondence, reports, instructions, guidelines, and similar material frequently referred to by the supervisor.
Organize and design ways to improve and increase efficiency.

What are we looking for?
Three years of clerical/secretarial experience which included:
one year at a full performance level performing typing, word processing, or other generating of documents; and
lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.
No substitution will be made for the one year at the full performance level.

Demonstrative experience composing routine memos, letters and other correspondence for own or administrative superior's signature.
Experience with oral and written communications for a variety of audiences.
Experience making independent judgments and decisions concerning a course of action to be taken.
Experience coordinating work activities between sections within the department or agency or between departments and agencies.
Experience organizing and maintaining files, correspondence, reports, instructions, guidelines, distributing mail and emails.
Experience managing staff calendars, organizing meetings and conferences, arrange travel itinerary and accommodations, prepare and submit travel and expense claims.
Experience assembling, editing, and summarizing, information, and data for administrative action.
Demonstrated experience researching information, composing correspondence, reports, memos and other documents.
