We are seeking a Pandemic Recovery Executive Support Specialist (Executive Support Specialist 2) to join our Office of Teaching, Learning, and Assessment at the Oregon Department of Education. This is a limited duration position scheduled to end on September 30, 2024.

What you will do!

This position provides confidential executive administrative support to the Senior Manager of Federal Investments and Pandemic Renewal. This position also provides administrative and coordination support to the staff under the Sr. Manager and the Pandemic Recovery efforts of the DOGM/Pandemic Recovery (ESSER) Team. This position routinely works with the Executive Support Specialist for the OTLA Assistant Superintendent, the OTLA Directors, and OTLA support staff in addition to coordinating with leadership and support staff across ODE.

As the Executive Support Specialist for the Pandemic Recovery and DOGM team you will:

Schedule and coordinate meetings at the request of the Senior Manager for Pandemic Recovery, for agency staff, staff from other public agencies (both state and federal), school districts, the media, and the general public. Meetings are mainly virtual, but may also be in person.

Actively participate in various committees and meetings in support of the Agency mission and its strategic goals, including but not limited to OTLA Leadership Team meetings; this includes drafting the agenda, taking minutes, ensuring action items are followed up on and deadlines are met, and receiving and completing assignments from those meetings, some of which relate to sensitive, non-routine issues

Draft materials on behalf of and/or for review by the Senior Manager; including, but not limited to correspondence, presentations, reports, and talking points

Provide coordination support for all communication protocols for the the Pandemic Recovery efforts including but not limited to: office directory; email and business distribution lists; electronic file directories; and other communication tools

What you need to qualify

One year of experience performing administrative duties in support of agency projects or programs.

Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

Strong organizational and project management skills and ability to manage multiple priorities; work with multiple deadlines, continual change, and at times heavy workloads; and pivot between competing priorities (including many same-day requests) and situations with ease and grace.

Fluency with office hardware, software and applications (e.g., Microsoft Office products, Google, Smartsheet, Adobe), virtual collaboration platforms and meeting apps (e.g., Zoom, Microsoft Teams), and scheduling apps, software (e.g.,Outlook), and processes.

Strong verbal and written communication skills

Experience providing advice or technical assistance to school districts, tribes, community groups or public.

Experience navigating different levels of authority and understanding how to prioritize meetings, requests and tasks.

Ability to navigate sensitive topics, timelines and conversations.

Ability to establish effective relationships with a variety of partners and community groups representing diverse perspectives and lived experiences

Ability to coordinate complex projects with ever-changing structures and timelines. Strong conceptual reasoning ability and ability to apply abstract thinking to concrete models in order to develop systems that can be applied to the work of State and local agencies.

Ability to take broad concepts and convert them to guidance and direction
