We are seeking an Executive Assistant to the Director of the Office of Research and Accountability (Executive Support Specialist 1). This position is in our Office of Research and Accountability with the Oregon Department of Education. This is a permanent, full-time position represented by SEIU.
This role is a hybrid of remote work and will need to report to office when business or operational needs are dependent on onsite activities. Remote work is embraced to the fullest extent possible without interfering with business.

The Office of Research & Accountability is dedicated to data justice, coherent research practices, and ensuring that Oregon’s education system continuously improves the educational services and supports that it is providing to Oregon’s students.

What you will do!
The Executive Assistant to the Director of the Office of Research and Accountability will provide direct and confidential administrative support to the Director in overseeing ODE’s research operations and data sharing procedures, as well as the state’s accountability and reporting system.

Typical duties include:

Calendaring and scheduling meetings

Supporting the hiring, recruiting, and onboarding of new staff at the direction of the Director

In conjunction with the Director, setting and reviewing goals and check-ins with current staff

Leading, facilitating, and/or note taking during virtual or in-person meetings

Drafting or reviewing drafts of official correspondence, presentations, reports, newsletters, public notices, agendas, etc.

Ensuring the Office of Research and Accountability’s web presence stays current by editing webpage contents

Processing contracts and related forms

Making travel arrangements

Travel will be required occasionally and may require overnight stays. Travel will typically be within the State of Oregon, but may be out of state, as well. Travel will only be required where necessary to support the Administrator in conducting engagements, giving presentations, or facilitating meetings that must be conducted in person.

What are we looking for?
Three (3) years of clerical/secretarial experience which includes:

One (1) year at a full performance level performing typing, word processing, or other generating of documents;

AND

Lead work responsibility or coordination of office procedures.

Courses or training in Office Occupations or Office Technology may be substituted for up to one (1) year of the clerical/secretarial experience. No substitution will be made for the one (1) year at the full performance level.

Ability to communicate clearly, including interpersonal, email, and technical writing, as well as the ability to adjust communications to the needs of different audiences.

Organizational, time management, and calendaring skills

Experience in understanding and following written and verbal requirements, policies, and protocols in processing procurement and travel requests.

Experience in Microsoft Office software products (Word, Excel, PPT, and Microsoft Teams) and online collaboration tools, including, but not limited to webinar platforms, Google resources, and Smartsheets.
