The Sisters School District is looking for a dedicated team member to join us as a Registrar / Counseling Secretary at Sisters High School. This 0.9375 FTE position is an essential part of our school community, working 7.5 hours per day, Monday through Friday, from 7:30 a.m. to 3:30 p.m., for 209 work days each year.

Position Summary: Under minimal supervision, assists the principal in the management of daily operations by providing administrative assistance, supervision, and organizational services. The team member is responsible for all student records as well as data associated with student progress toward graduation; curates the database of course offerings at the high school and maintains a cash drawer; serves as the primary contact with all staff members as well as students in relation to counseling activities and records.

Job Characteristics: The majority of this team member’s time is spent in contact with people. Flexibility and effective oral and written communication skills are essential. Must be able to use current office equipment, which include computers, copy machines, and automated telephone/intercom systems and help staff members with this equipment. This position serves as the primary contact person for students, parents, district staff and community members. This position requires the use of independent judgment in the absence of the administrator to deal with a variety of unanticipated problems and concerns. Works under the supervision of the principal.

Essential Duties and Responsibilities:
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
● Assists counseling staff with all aspects of the school scheduling process using the current student services program.
● Records and maintains transcript information on all high school and alternative school students. Reports transcript information to colleges as directed.
● Coordinates access to services in the counseling office and serves backup to adjoining spaces such as the school nurse’s office and the dean of students.
● Coordinates access to and enrollment for online/independent study classes.
● Assists counselor(s) in tracking graduation requirements for all high school and alternative students.
● Assists principal and/or counselors in the development of student handbooks, curriculum guides, and the high school master schedule.
● Initiates and processes report cards and progress reports as directed and assumes responsibility for the timely mailing of such reports.
● Ability to positively represent the district on a variety of matters and situations.
● Ability to rapidly and accurately enter and retrieve data from district software.
● Ability to support and maintain school and district policies and to successfully plan and complete assigned responsibilities within identified resources and timelines.
● Works well with others from diverse backgrounds. Focuses on solving conflict; maintaining confidentiality; listening to others without interrupting; keeping emotions under control; remaining open to others’ ideas and contributing to building a positive team spirit.
● Maintain a high level of commitment to completion of all tasks and meeting deadlines.
● Genuine interest in and ability to relate to students and the general public.
● Ability to work under minimal supervision and direction.
● Such alternatives to above qualifications as the administrator may find appropriate and acceptable.
● Maintains the same level of ethical behavior and confidentiality regarding information about students and district issues as is expected of certificated staff.
● Maintains School to Work records and calendars and provides reports accordingly.
● Maintains key inventory and key contracts.
● Maintains financial records, compiles budgetary needs, purchase requests and process documents involved in financial transactions for the high school student body, district, and co-curricular accounts.
● Process incoming and outgoing mail and packages.
● Assists and works with elementary and middle school secretarial staff in job related training.
● Fulfills other related duties as assumed or assigned.
Qualifications:
• Holds a high school diploma or equivalent.
• Have a record of successful employment.
• Knowledge of current office practices, procedures, communication and equipment and willingness to learn student service and accounting software programs.
• General knowledge of computer usage and ability to use database software, internet software, email, and word processing software. Ability to proficiently use the following programs strongly preferred, MS Word and Excel, Synergy, iVisions, InTouch and Google Workspace. Ability to type accurately and proficiently.
• Knowledge of and skills in using standard office equipment such as calculators, word processors, computer terminals, copier machines, fax machines, laser printers, and other related equipment.
• Knowledge of cash handling procedures, maintaining and processing financial records, maintaining accurate student accounting records and other record keeping processes.
• Ability to communicate fluently verbally and in writing in English. Ability to respond to common inquiries or complaints from students, parents, staff or members of the community. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
• Current CPR and First Aid Card.
• Regular and reliable attendance.

Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to walk, sit, use hands for fine manipulation, handle or feel and reach with hands and arms. The employee is frequently required to stand and stoop, kneel, crouch or crawl. The employee must regularly lift and/or move up to 25 pounds and occasionally up to 50 pounds. Specific vision abilities required by this job include close, distance and peripheral vision, depth perception and ability to adjust focus.

Salary: $16.71 - $26.03 per hour, based upon prior work experience and education. (Salary schedule subject to change for the 2025 – 2026 school year). Excellent benefits package and Employer-paid PERS when eligible.
