This Privacy Policy describes how the COSA Events mobile application (“the App”) collects, uses, shares, and protects information. The App is provided by the Coalition of Oregon School Administrators (COSA).

By using the App, you agree to the practices described in this policy.

Information We Collect

1. Information Provided by Event Organizers
Event organizers may upload the following attendee information into the App:

• First Name
• Last Name
• Email Address
• Title
• District Affiliation

This information may be displayed in the attendee list if that feature is enabled by the event organizer.

2. Information You Provide or Generate Within the App
Depending on the event configuration, the App may allow you to:

• Send in-app messages
• Receive or interact with push notifications
• Update your profile details
• Control visibility in the attendee list

3. Automatically Collected Information
The App and its third-party analytics tools may collect:

• Device information (model, OS version, unique identifiers)
• Push notification tokens
• App interaction data (e.g., features used, frequency, session duration)
• Technical diagnostics for performance monitoring

This data helps COSA and Eventpedia improve the App experience and plan future events.

How We Use the Information

COSA and Eventpedia may use your information to:

• Display attendee lists and profiles
• Enable networking and messaging features
• Support surveys, polls, and Q&A tools
• Power exhibitor or session QR code scanning
• Provide gamification or engagement features
• Deliver push notifications
• Improve events through analytics insights
• Support app functionality, performance, and security

How Information Is Shared

1. Shared Only With Your Explicit Opt-In
Your information may be shared only when you choose to interact through scanning, including:

• Scanning exhibitor or session QR codes
• Allowing someone to scan your attendee QR badge

In these cases, you are explicitly granting access to your profile information.

2. Third-Party Analytics Providers
The App uses third-party analytics platforms to understand app usage and improve user experience.  These services may receive:

• Device data
• Usage metrics
• Basic profile identifiers as needed for analytics

These providers are contractually obligated to protect data and use it only for the services they provide.

3. No External Sharing by COSA
COSA does not:

• Sell, trade, or rent personal information
• Share attendee lists with sponsors, exhibitors, or external partners outside the App

User Controls and Choices
You may:

• Update or correct your profile directly in the App
• Control what information is visible to other attendees
• Opt out of appearing in the attendee list (if enabled)
• Request data deletion (see contact information below)

How We Protect Your Information

Eventpedia maintains advanced security protocols, including:

• Encryption of data transmitted between the App and backend services
• Secure server environments
• Restricted access to personal information
• Contractual confidentiality requirements for service providers

COSA may impose additional data protection measures as required by applicable laws and organizational policies.

Children’s Privacy
The App is not intended for children under 13. We do not knowingly collect personal information from children.

Changes to This Policy
We may update this Privacy Policy from time to time. The revised version will be posted at this URL with an updated effective date.
